Essential Functions, Duties, and Responsibilities:

  • Office Hospitality - Open the office, greet guests, manage daily coffee/snack setups, and maintain inventory of supplies, snacks, and peripherals.
  • Event & Culture Support - Coordinate company events, organize staff gifts, decorate seasonally, book travel, and keep internal calendars current.
  • Facilities Management - Handle daily office walk-throughs, address minor maintenance issues yourself, coordinate vendors for maintenance and upgrades, manage janitorial supplies, keycards, and parking passes.
  • IT Coordination - Troubleshoot basic issues, manage inventory of laptops and peripherals, and work with IT on onboarding/off-boarding setups.
  • Accounting Support - Deposit checks, track team budgets, manage expense tracking system, reconcile receipts, support A/P and A/R, and assist with other financial tasks as needed.

Minimum Qualifications & Skill Requirements:

  • 10+ years of professional experience preferred with 5+ years experience in office management, facility management, or administrative role.
  • Strong proficiency in Google Suite, including Google Sheets, Google Slides, Google Drive and Gmail.
  • Highly detail-oriented and organized.
  • Excellent communication skills - must be able to over communicate clearly and effectively to all levels of employees.
  • Bookkeeping experience is preferred.

Office Hours

This role is based out of our Austin office and required to be in-office 5 days per week, Monday - Friday, 8:00 A.M. - 4:00 P.M. in order to fully support our on-site staff and manage the office building. Our team works on a hybrid basis, working three days a week in the office and two days from home.
